The Heart of the Valley Homebrewers
Entry Guidelines
Anyone 21 years of age or older may enter. All entries must be personally homebrewed by the entrant. Entrants are limited to two entries per major category, and further limited to only one entry per subcategory. Entries can be dropped off from April 9 until May 7 (where?). Entry fee is $6.00 each for each entry. Checks should be made payable to Heart of the Valley Homebrewers. Please do not send cash. Three twelve ounces bottles of each entry are required for judging. Bottles must be brown glass and must be free from identifying marks (labels, marked caps, or any other unique feature). Failure to observe the competition guidelines will result in disqualification of the entry. The entry fee is not refundable for disqualified entries. Enter your brew in the category and subcategory where you feel it will perform best. Judges do not see your entry form. Judges or organizers will not classify or reclassify your beer. All entries will become the property of the Oregon Homebrew Festival organizers.

Each entry consisting of three bottles must be accompanied by an entry fee and a completed entry form, a photocopy of the completed form, or a sheet of paper specifying the following: Brewer's name and address, and category entered (one of the 28 2008 BJCP recognized beer, mead, or cider categories plus sub-category). Styles 20, 21, 22, 23, 24, 25, 26, 27, and 28 should also identify the classic style or specialty ingredient, as well as dry, medium or sweet for meads and ciders. Brewers should be very specific regarding which style within the category their entry is to be judged (for instance, Stout - 13F. Russian Imperial Stout). Use the BJCP Style Guidelines. Those wishing to enter a Cascadian Dark Ale, or "Black IPA" should note that this style is not currently recognised by the BJCP, and as such has no category of its own. However, as an emerging style, entries in the Cascadian Dark Ale style will be accepted provided they are entered into the "Specialty Beer" category (BJCP 23), are labeled as "Cascadian Dark Ale", and are submitted with a copy of the preliminary style guidelines. These are available here. These entries will be judged according to the preliminary style guidelines, as part of the specialty category. Heart of the Valley Homebrewers will not be responsible for beers entered in the wrong style category.

Each bottle must have a completed Bottle ID Form attached to it with a rubber band. Do not tape or glue forms to your bottles. This label should contain your name, address, phone number, name of beer, category and sub-category entered, and homebrew club affiliation (if any) and if you are a first time entrant to any homebrew competition. Note: All entries (including on-line entries) must be received by the deadline of Friday, May 7 . Sorry, no exceptions! It is your responsibility to complete all entry/recipe forms, bottle identification forms, and to identify the category and subcategory in which you want your entry to be judged. No entries will be returned whether received late or otherwise. Entries received without proper forms completed will be disqualified. A list of winners will be available on the HOTV website.

Packaging Your Entries
What seems to work the best are boxes that provide a separate compartment for each bottle. Wine boxes with the dividers intact are good, with bubble wrap or foam placed at the bottom of compartment to depth of about 3 inches. Then the bottle can be placed in a compartment and secured with more stuffing material around the neck. Try not to use the compartments around the outside for bottles. Instead, fill with more stuffing material providing a protection zone.

Using a six-pack holder can work; however, it is best to put only three bottles in each holder staggering the bottles so no two bottles are next to each other. Fill the unused slots with stuffing material. Bag each six-pack in plastic to make sure the bottles stay in the holder. Pack the holder in a box leaving at least 2-3 inches of space all around the holder for packing material. Combining a six-pack holder with a box made of styrofoam works well too.

Another method that works well is a box in a box. The beer is packaged securely in a box that is just a bit larger than the bottles it contains like a long neck 12-pack box with stuffing material around the necks of the bottles. This box is then packaged inside another box that is large enough to create at least a 2 inch space for packaging material like foam or bubble wrap.

When choosing packaging materials keep in mind that styrofoam peanuts or angel turds can get quite messy. It would be good to create several "pillows" of the material by bagging the peanuts in plastic bags and then using that to stuff spaces around the boxes and around bottle necks.

Another great method is to make interlocking foam dividers that fit between and around the inside edge of a large box as shown below. Make sure you have a foam pad on top and bottom to provide at least 2 inches of protection all around.

Use a rubberband to attach the Bottle ID form to each bottle. Put the entry form and check under the packaging material. Don't place your entry forms just below the top flaps of the box or on top of the packaging material. All too often this results in a cut check or entry form. Be sure to clearly print the destination address as well as your return address on the box with waterproof ink. Always mark which way is "up" and mark that the contents are "fragile".

Entries mailed directly to the festival must be received by 5:00 PM on Friday, May 7, 2010. All reasonable efforts will be made to store, transport, and serve each entry in the best possible manner and condition. As shipping may resuspend sediment, entries should be shipped early enough to allow sufficient time for settling for best appearance by judging time.

Judging Info
Preliminary judging and judge training session will be held Friday, May 14, 2010 7-10 PM. Majority of the judging will be held Saturday, May 15, 2010 starting at 9:00 AM. Qualified judging of all entries is the primary goal of the event. Judges will evaluate and score each entry using a 50 point system. The average of the three scores will rank each entry in its category. Each flight will have at least one BJCP judge. If a category has more than 11 entries, it is a candidate for preliminary judging or it will be split into two flights. Categories with a small number of entries may be combined at the discretion of the competition organizers. The Director of Judges or other qualified person will review elements of beer categories and styles with each panel prior to judging. The Best of Show will be determined by a blue ribbon panel based on a second judging of the top winning entries.

Awards
Winners will be announced at the award ceremony to be held approximately 4:00 PM the day of the competition. Ribbons will be awarded for 1st, 2nd, 3rd place in each category as well as the 1st time entrant competition. A list of winners will be available on the HOTV website.
